What to have in reach.
Have the trust bank and the operating bank on one page, even if you only know the names of the accounts. Say whether a commission already posted, and whether it posted gross or net. If a tenant deposit and the rent share an account, say that in one line. Leave property addresses out of the note. Buyer names, seller names, and tenant names belong in the file after a written scope, not in a public form.
If you also hold short stays, add the list of nights for one payout you do not trust. If you pay rent or a coordinator, add the check that has no name. If a purchase was booked as one number, add that closing. You do not need every door. Send the one closing that still refuses to match the bank.
Leave the fee for the work out of this first packet. How many months still disagree with the bank, and how many accounts are in the file, is what sets the price later. A prior year is a separate job with a separate price. It is not bundled into the current month.
What the hour is, and what it is not yet.
Steven Palmieri goes through that chart on the call. The footer number is there if the frame is a bother. The hour stays a conversation until a written scope names the months and the price. You can leave knowing the four jobs and still decide later. Stopping after the conversation does not create a bill for the hour.
We do not hold earnest money for you, and we do not change the file during the hour. Work starts when the scope names what you will send. Until that page exists, nobody is hired. You keep ownership of your records. We would keep a working copy only after that scope, so the month can be tied.
If the mess feels personal, it is usually just a busy book. Splits, chargebacks, and a referral paid the same afternoon are how a good month looks while it is happening. The cleanup is the record of that month, not a lecture about it. Bring the closing you are embarrassed to narrate. That is the useful one.
After the chart is on the table.
The reply starts from the chart you described. If the note is thin, we ask for the one missing piece instead of guessing. You should be able to point at the fee, the agent share, the referral, and anything in the deposit that was never a fee. If you also hold rent, the deposit report says which account the tenant money landed in.
The federal estimate calendar keeps moving even while this file is still messy. Individuals still pay on 15 April, 15 June, 15 September, and 15 January. Corporations use the 15th of the 4th, 6th, 9th, and 12th months. A cleanup that is still open does not move those dates. It does change the profit you should be estimating, once the holds are out of income.
Bring one closing. Leave with a picture of the four jobs and a choice about the year. Which doors you keep and which loan you refinance are the Tax CFO questions, and they wait until the chart is true. The packet is how the chart gets true.
